A voice agent for people who answer their own phone
Your hands are full. The phone still gets answered.
Callio picks up on your business line, answers from what you have written, books into the hours you actually keep, and puts a caller through to you when that is what they need.
Callio is invitation only. Your existing number keeps working: callers dial what they always have.
the phone rings
Thank you for calling Ashgrove Joinery. I can help with our work, our prices, or booking a visit. What can I do for you?
Hi. What is the lead time on an oak dining table at the moment?
Right, the lead time on an oak table. It is eight to ten weeks from the deposit, and we measure up first.
Could someone come and measure next week?
I have Tuesday at ten, or Thursday at two. Which suits you better?
Thursday.
Booked, Thursday at two. I am texting you the confirmation now.
What a caller hears
It picks up
No hold music, no menu tree, nothing to press. The caller speaks and gets an answer.
Callio takes each call on its own, so two people ringing at once both get through, and it answers at eleven at night as readily as at eleven in the morning. Your number does not change: callers keep dialling the one they already have.
It answers in your words
Callio only says what you have told it. You write down what you know - what you do, what it costs, how long a job takes, what a customer should bring - and it answers from those documents, in the wording you used.
When a question falls outside them it says so and offers to put the caller through. It does not round a price, it does not invent an opening time, and it will not stretch an unrelated paragraph into an answer. Nothing found is a transfer, not a guess.
It books the hours you keep
Availability is your opening hours, minus your closures, minus what is already in the calendar. The agent reads back only times you are genuinely free, writes the appointment the moment a caller accepts, and texts the confirmation to both of you.
Two callers cannot take the same slot - the database refuses it. You set how long an appointment runs, how far ahead people may book, and how much notice you need, so nobody books you for twenty minutes from now.
It hands over properly
When a caller needs you, Callio asks them first. Then it rings your mobile and tells you who is holding and what they want before it connects you, so you never pick up cold. Press one to take the call, two to send it to voicemail.
If you cannot answer, it apologises, takes a message, and texts you the details with a recording. The caller is never dropped and never left listening to a phone that rings out. A caller who presses zero reaches you this way at any point in the call.
You get the whole call back
Every call is written down: who rang, when, how long it lasted, what they asked and what was said. The full transcript, not a summary or a sample.
Read them once a week. Every transfer caused by a missing answer is a document you have not written yet, and every one you write is a call you no longer have to take.
And the things it will not do
- It will not pretend to be a person.Callio introduces itself as an assistant, and says so plainly if a caller asks.
- It will not answer from anything but your documents. No general knowledge, no improvising around a figure it does not have.
- It will not be drawn off topic. It stays polite, declines to discuss anything outside your business, and ends the call if abuse continues.
- It will not mix one business up with another.Your documents, calls, bookings and settings are yours alone. The agent answering your line can only see what you gave it.
- It is a poor fit for some calls. If a licensed professional must be on the line from the first word, or a caller has to be identified before anything can be discussed, this is the wrong tool.
Who it suits
Trades and contractors. Clinics and practices. Salons and studios. Repair shops, professional services, and small offices where the person who answers the phone is also the person doing the work.
Getting set up
- Sign in to your console.
- Write down what the assistant should know, or drop in files you already have.
- Set your opening hours, your time zone, and the mobile a transfer should ring.
- Point your business number at the address the console shows you.
Most businesses are answering calls within an hour, and the longest part is writing down what you already say on the phone every day. Change a price or a document and the next call uses it. There is nothing to redeploy.
Let the next one be picked up.
Callio is invitation only. If your business has not been set up yet, ask whoever you have been dealing with to send you an invitation.
